One. Purpose of the competition and sponsoring companies

The WIP Latam Industry Award aims to help complete a Latin American feature film from among those included in the WIP Latam selection at the San Sebastian Festival.

The Industry Award is open to 100% Latin American productions or co-productions, provided that third contries participation is no higher than 49% of the total film production and that they accept the conditions stipulated in point 4 of these rules.

Thus, the film winning the award will receive the different post-production detailed below and provided by the sponsoring companies: Ad Hoc Studios, Deluxe Spain, Dolby Iberia, Laserfilm, S.L., Nephilim producciones S.L., No Problem Sonido and Sherlock Films.

Two. Participation requirements and conditions

Simply by presenting candidate projects to the WIP Latam Industry Award implies unlimited and unrestricted acceptance of these rules by the participating production companies.

Three. Film selection process and presenting the award

A Jury consisting of representatives from each of the companies sponsoring this section (as mentioned above) will select the winning film after having viewed the works that require the services they offer and examining their situation.

The decisions taken by the Jury will be final.

The winning film will be announced at the San Sebastian Festival.

Four. Co-production contract and participation quota

On behalf of the (aforementioned) sponsoring companies, NEPHILIM PRODUCCIONES, S.L. will sign a financial co-production contract with the winning production company in order that the winning film may obtain Spanish nationality for the purposes of improved commercialisation in Spain. This contract, whose text will be worded by NEPHILIM PRODUCCIONES, S.L., will be signed within a maximum of three months from the moment the Award is accepted by the winning production company and, in any case, before the post-production work begins.

Under the said contract, NEPHILIM PRODUCCIONES, S.L. will become the audiovisual co-producer of the film and will therefore hold full rights to it. NEPHILIM PRODUCCIONES, S.L. will also obtain 100% of the exclusive film rights in Spain and non-exclusive film rights in Andorra.

Commercialisation of the film in Spain and Andorra will be decided and carried out by NEPHILIM PRODUCCIONES, S.L.

The winning production company shall guarantee that it owns the licensing rights to the film and that it is authorised to sign this co-production contract with NEPHILIM PRODUCCIONES, S.L. in the above terms. In the event that this guarantee fails to materialise, the production company will be held responsible for compensation to NEPHILIM PRODUCCIONES, S.L.

Five. Obligations of the winning production company

The winning production company undertakes to:

  • Provide all the material required to carry out the post-production work included in the award, no later than 15th December of the year that the award is granted;
  • Include in all opening credits for the film that it is the winner of the “WIP Latam Industry Award", including the WIP Latam logo and the logos of all the sponsoring companies. Mention must also be made of the Award in all material to promote and advertise the film (poster, website, etc.);
  • Allow the sponsoring companies to use the title of the film and the film itself, directly and indirectly, as promotional and advertising material for their own activities;
  • Delivery to NEPHILIM PRODUCCIONES of the poster in layers, the press kit in Spanish, photographs of the film, the trailer, list of original dialogues and a link to the film as soon as it is ready for viewing, at the very most one month before the start of the following edition of the San Sebastian Festival. The production company undertakes to send the final design of the poster to NEPHILIM PRODUCCIONES in order that it may supervise the correct position of the logos of the companies sponsoring WIP Latam.

Six. Obligations of the companies sponsoring the Award

The companies sponsoring the award shall carry out the post-production tasks that are their responsibility in accordance with the following description, no later than 31st July of the year after the one in which the award is presented. This work shall always be carried out following a work schedule that the companies themselves have designed and which the company producing the film must accept.

The materials to be sent by the film winning the award are:

  • EDL.
  • QuickTime reference for the montage reels.
  • OMF/AAF for the reels and all uncut camera and sound footage.

The companies will contribute:

  • AD HOC STUDIOS will provide:
    Sound mixing of the winning film, facilitating the following:
    - Dolby Atmos pre-mixing and mixing studios and print master, up to 80 hours.

Materials to be delivered:
- Atmos Mix mxf files to 24 FPS, by reels.
- 5.1 mixing and LT RT to 24 FPS, by reels.
- 5.1 mixing and LT RT to 25 FPS, continuous.

  • DELUXE SPAIN is responsible for:
    • Creating an EDL in high definition, completed and provided by the customer.
    • Providing digital effects, up to a maximum of 80 hours.
    • Graphic works (opening and closing title sequences), up to a maximum of 40 hours.
    • Up to 80 hours of colour correction.
    • Obtaining the DCP master (Digital Cinema Package), in original version with English subtitles.
    • Master HD (OV).

      In the event that the Deliveries for international sales are awarded to Deluxe Spain as a result of intermediation by the production company winning the WIP Latam Industry Award, it will pay 3% of the total invoice for the contract in question. This payment will not be made in the event that the distributor has a prior agreement with Deluxe Spain for carrying out said work.
       
  • DOLBY IBERIA, S.L. will provide the services included in its Motion Picture Service Agreement (MSPA).
     
  • LASERFILM will provide translation, adaptation and location of the English subtitles and Spanish (when needed) of the film, including a day of simulation with the native translator. It will also add the subtitles to the DCP.
     
  • NEPHILIM PRODUCCIONES S.L. will coordinate the post-production work and licensing of the film in Spain and Andorra as envisaged in these rules and in the co-production contract.
     
  • NO PROBLEM SONIDO S.L. will produce the sound design and editing (not including recording of the dubbing or foleys).
     
  • SHERLOCK FILMS will guarantee release of the winning film in Spanish cinemas, with a minimum of 2 copies, and the corresponding advertising. The total advertising cost will be decided by Sherlock Films according to the film’s potential. Sherlock Films will decide the extent of the marketing campaign and the presence of the winning film at other national festivals. In addition, Sherlock Films can edit the title, the poster image and the trailer to suit the Spanish market, always with the producers’ approval.

    Said release will take place within the 18 months of delivery of the first master copy of the film, and Sherlock Films will decide on the best date for its release in cinemas.

Any additional work to the above will be the responsibility of the production company and must be requested from the corresponding company.

Can I submit a documentary?
The Festival makes no distinction between fiction and non-fiction and both options will be considered for all of its sections.

Can I submit a short or medium-length film?

Yes, but only for the Zabaltegi-Tabakalera section.

  • Full-length film More than 60’
  • Medium-length film From 30’ to 59’
  • Short film Up to 30’

If you have a short film made at your school, you can participate in Nest.


¿Can I submit a Project under development?
If you have a project under development, you can register it in the Europe-Latin America Co-Production Forum or Ikusmira Berriak residence program, as long as you meet the registration requirements.

Can I submit a film/short film to more than one section?
With the exception of the specific sections (indicated above), short films and medium-length films, all others can be submitted to any of the Festival sections. The Festival Committee will then decide which section is most suitable for the film submitted.

Pre-Selection

What formats do you accept for pre-selection?
  • Link/Screener with password
  • DVD
  • Blu-ray
  • DCP

Does my film have to be subtitled?
Films whose original version is Spanish, Basque, English or French do not require subtitles. All other languages must have subtitles.

Can I submit a work in progress?
Yes.

Can I submit a trailer?
No. We don’t accept trailers as pre-selection material.

What do you understand by premiere status?
  • World premiere
    The film has never been officially screened before an audience.
  • International premiere
    The film has been screened in cinemas or at a national festival in its country of origin, but in no other country.
  • European premiere
    The film has been screened or released in cinemas outside Europe, but has never been screened in a European country.
  • Spanish premiere
    The film has never been screened in Spain.
  • No premiere
    The film has been screened and/or premiered in cinemas including Spain. In this case its only option is inclusion in the Made in Spain or Zinemira Panorama sections.

Can my film participate if it has been released in DVD or Blu-ray?
Yes, but only in the Made in Spain or Zinemira Panorama sections (the latter only in the case of Basque productions).

Can my film participate in the Festival if it has been released in VOD?
Yes, the film can participate in the different Festival sections according to the rules on release corresponding to each section.

Submission Fee

How much is the submission fee?

The fee for each film submitted for pre-selection by the Festival is:

  • Short and/or medium-length films (up to 59'): €70 (including 21% VAT)
  • Feature-length films (more than 60'): €100 (including 21% VAT)
  • DCP in physical format (2.5 hard drive, CRU or similar): €150 (including 21% VAT) or
  • DCP submitted digitally (Aspera, Media Shuttle or similar): €200 (including 21% VAT), no matter what the runtime.

Said fee will be payable in euros during the film submission process and can only be paid by credit card (Visa, American Express or Mastercard) or PayPal.

The submissions for WIP Latam, WIP Europa and Nest is free.

The projects submission in the Europe-Latin America Co-Production Forum or Ikusmira Berriak residence program is for free.


Do I get my money back if the film is not selected?
No.

How can I pay if I don’t have a credit card or PayPal?

If you don’t have a credit card you can pay by bank transfer. In this case, please contact us at films@sansebastianfestival.com for instructions.


I’m a student, do I qualify for a discount?

No, students do not qualify for a discount on the submission fee. However, if you have a short film made at your school you can submit it free of charge to Nest.


Communication

When will I know if my film has been selected?
Films will be considered during the pre-selection process. Films not selected will be informed of the decision by email 2-3 weeks after they are received.

Will I receive feedback?
No. The Festival receives more than 2,500 films every year and does give the reasons for its decision.

Selection

When will the announcement that my film has been selected go public?
The calendar for announcing the films will be decided by the Communication Department, which will first of all inform the person responsible for its submission.

What is the deadline for sending the DCP?

The deadline for receiving the final DCP is 1 September 2020.
